About Tags
What tags are for, how they differ from folders, and when to add them.

A tag is a word or a short phrase that you add to an article or to a profile. Tags help people sort, filter and find information.
Use tags to:

Describe the subject of an article with a shared vocabulary.

Show the use or the nature of an article, for example "competitive intelligence" or "internal only".

Find information that the search engine cannot detect, for example the language of the content.

Send articles to the right people, with personal or shared alerts.

Create filtered views in the tabs of a space.
Tags are shared across spaces, unless an administrator limits a category to some spaces. This makes searches across spaces more precise.
In a space, the "Tags" panel lets people filter the articles by tag.
Folders or tags
Tags are an alternative to folders.

Folders: a fixed tree, with one way to reach each document.

Tags: a flat and flexible structure, with as many ways in as there are tags. You can combine them to narrow a search.
When to tag
People usually tag an article when they publish it: the tag window opens after the first save. You can also add tags later, on one article or on several articles at once.
